Privacy policy

This policy explains what personal data Hunter's Moon ("we", "us") collects from you when you use this website, make an enquiry or book a stay, how we use it, and the rights you have over it. We take your privacy seriously and only collect what we need to look after your booking.

Who we are

Hunter's Moon is a privately owned holiday cottage at Bradley Way, West Bradley, Glastonbury, Somerset BA6 8LT. For anything relating to your personal data, contact us by email at bookings@huntersmoonholidaycottageglastonbury.co.uk or by telephone on 07774 264955.

Information we collect

Information you give us

When you enquire, book, or correspond with us by phone, email or the contact form, you may give us your name, postal address, email address, telephone number, the names and ages of the members of your party, details of any pets, dietary requirements or accessibility needs, and payment details. Payment card details are processed by our booking system provider, SuperControl, and its payment processor; we do not store full card numbers ourselves.

Information we collect automatically

When you visit the website we may collect technical information such as your IP address, browser type and version, device and operating system, the pages you visit and the time spent on them, and the website you came from. This is collected through cookies and similar technologies, as described in our cookie policy, and is used in anonymised form to understand how the site is used and to improve it.

Information from other sources

If you book through a third-party booking site or listing platform, we receive the details of your booking from them. Their own privacy policies apply to the information you give them.

How we use your information

  • To respond to your enquiry and provide a quotation.
  • To administer your booking, take payment, hold and release the security deposit, and send you directions, access codes and information about your stay.
  • To contact you about your booking, including any changes or problems, and to deal with any damage or lost property after your stay.
  • To arrange holiday extras you have requested with our trusted local suppliers, who receive only the details they need.
  • To comply with our legal obligations, including tax and accounting records.
  • To invite you to leave a review after your stay, and, only where you have agreed, to let you know about availability and offers. You can opt out of marketing messages at any time.
  • To keep the website secure and to understand how it is used.

Our legal bases for processing are the performance of our contract with you, our legitimate interests in running the cottage and this website, compliance with legal obligations, and, for marketing and non-essential cookies, your consent.

Who we share it with

We share personal data only where necessary: with SuperControl, our online booking and payment system; with our housekeeper and maintenance contacts so that the house is ready for you; with local suppliers for any extras you have asked us to arrange; with our accountants and, if required, HMRC; and with professional advisers or authorities where the law requires. We never sell your data. Our website is hosted by Hostinger; anonymised analytics, where enabled, are provided by Google Analytics. Some of these providers may process data outside the UK under appropriate safeguards such as the UK International Data Transfer Agreement or adequacy regulations.

How long we keep it

We keep booking records for seven years to meet our tax and accounting obligations. Enquiries that do not lead to a booking are deleted within two years. Website analytics data is retained in anonymised form for up to 26 months.

Security

Your data is stored on secure, password-protected systems and transmitted to our booking provider over encrypted connections. No transmission over the internet is completely secure, however, and any transmission is at your own risk; once received, we use appropriate procedures to prevent unauthorised access.

Your rights

Under the UK General Data Protection Regulation you have the right to ask us for a copy of the personal data we hold about you; to have inaccurate data corrected; to have your data erased where we no longer need it; to restrict or object to our processing; to receive your data in a portable format; and to withdraw consent at any time where processing is based on consent. To exercise any of these rights, email bookings@huntersmoonholidaycottageglastonbury.co.uk. If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
