Booking terms and conditions

These are the terms on which Hunter's Moon is let. Please read them before you book; by paying your deposit you accept them. If anything is unclear, ask us and we will happily explain.

1. Your booking

After making your provisional holiday reservation with Hunter's Moon, either using our online availability booking system or by telephone on +44 (0)7774 264 955, we will send you a booking confirmation and invoice by email (or by post on request).

You will be asked to pay a booking deposit of 25% of the hire cost if your holiday start date is more than eight weeks after the date of your provisional booking. If you book within eight weeks of your holiday start date, full payment is required at the time of booking. In either case your provisional booking will be held for no longer than three days awaiting receipt of your payment, after which it will lapse.

Your booking is not confirmed until either your deposit or full payment has been received by Hunter's Moon and your booking has been confirmed in writing or by email.

On receipt of your booking deposit or full payment, a contract of hire exists between you (the Guest) and Hunter's Moon (the Owners). At no time must the occupancy of the house exceed ten Guests (plus a maximum of two infants under the age of two) unless agreed with the Owners.

2. Security deposit

A security deposit of £450 will be pre-authorised seven days before your holiday and held against the card you used to pay for your holiday. If you paid by bank transfer, or wish to use another card, please advise us.

This amount is automatically authorised seven days before your stay, held on account, and released seven days after the end of your holiday, less any deductions for repair, breakages, losses or damage to the property or its contents (fair wear and tear excepted, as we understand that minor accidents do happen).

The security deposit is a separate line item from your booking total and you will be notified on your booking receipt if it has been taken from your card.

3. Minimum age of guests and single-sex groups

We welcome families and groups of friends but regret that we are unable to accept bookings where all party members are less than 25 years old, or single-sex parties of more than four people, without the prior consent of the Owners. Please contact us to discuss any group booking requirements.

4. Paying the balance of hire

Your balance of hire is due for payment, without demand and in full, no later than eight weeks before your arrival.

5. Price variations

We reserve the right to vary prices without notice. The price of your holiday is, however, guaranteed once a booking confirmation has been sent out and received by you.

6. What is included in the price

Your holiday hire includes use of the property from 4.00pm on the day of arrival specified in your booking confirmation until 10.00am on the specified day of departure. If you require an early check-in or late check-out please contact us and we will do what we can to accommodate your request.

Your hire of Hunter's Moon includes all bed linen (except for the optional cot), towels, heating, gas, electricity and water.

7. Changes to your booking

After your booking has been confirmed, any changes will incur a small administration cost of £30.00 to cover the cost of replacement paperwork. Changes within eight weeks of the start date of your holiday may incur additional cancellation charges, and all requested changes are subject to availability.

8. Cancellation by you

On confirmation of your booking, a contract of hire exists between the Guest and the Owners. In the event of cancellation by you eight weeks or more before your holiday, your 25% booking deposit is non-refundable and you may be eligible to claim on your holiday cancellation insurance if taken (see section 11). Cancellation within eight weeks of your holiday forfeits the full hire amount paid (or due) unless the Owners can re-let the property, in which case only the 25% booking deposit is forfeited to cover administration and re-letting costs.

9. If we need to cancel or change your booking

We do not expect to have to make changes to your booking; however, sometimes problems happen and bookings have to be changed or cancelled. We will only change or cancel your booking:

  1. if it is necessary to perform or complete essential remedial or refurbishment works; or
  2. for unforeseen reasons, beyond our reasonable control, at the time you made your booking. This may include occasions where the accommodation becomes inaccessible due to a Met Office severe weather warning or other severe weather event.

If we need to change or cancel your booking for the reason in 9.1 we will do our best to offer you a suitable alternative booking. If we are not able to offer a suitable alternative, or you do not accept the alternative we offer, the booking will be deemed cancelled and we will refund the total amount you have paid us for the booking.

If we need to change or cancel your booking under 9.2 we will only be responsible for foreseeable losses that you suffer as a result of that change or cancellation, and not for unforeseeable losses. A loss is foreseeable if it is an obvious consequence of our change or cancellation, or if it was discussed by both of us at the time we entered into this contract. Where it becomes impossible to deliver the booking due to unforeseen events beyond our reasonable control, we will do our best to offer a suitable alternative booking for alternative dates; if you do not accept the alternative, the booking will be deemed cancelled and a refund of any amounts paid will be offered.

It is a condition of your booking that you obtain appropriate travel insurance for all members of your group, ideally covering illness, cancellation and injuries during your stay. Under no circumstances will the Owners be liable to refund any amount exceeding the amount paid by the Guest.

10. Liability

The Owners accept no liability whatsoever for any loss, damage, injury or accident to the Guest, any member of the Guest's party or their property while in occupation of the property or its grounds, however caused.

11. Cancellation and personal insurance

It is very strongly recommended that you have adequate personal and holiday cancellation insurance covering you and all members of your party. This should be suitable for UK self-catering holidays arranged independently of a travel agent and should include cancellation protection cover to safeguard you against loss of the cost of your holiday in the event of unexpected cancellation.

Under no circumstances will the Owners be responsible for loss of life, personal injury, medical expenses, accidents, damage to the Guests' property, personal effects or motor vehicles, and you should ensure that your insurance covers such eventualities.

12. Entertainment pod and cinema room: special clause

The integrated television and surround-sound equipment in the cinema room and the smaller television in the snug are all manufactured by Bang & Olufsen and are provided for Guests' enjoyment. This specialist system is an extremely expensive and complex set-up, so we politely request that the utmost care is taken both in using it and in ensuring that no damage occurs.

In the case of damage caused as a direct result of the actions of a member of your party, the Owners will make a claim against their specialist house insurance, which carries an excess of £500 covering this equipment. This cost will be charged directly to the Guest. By using this room and equipment you accept this potential liability.

13. Pets

Pets are welcome at Hunter's Moon (a maximum of two dogs; additional dogs may be added to the booking with the prior consent of the Owners). Owners of pets are responsible for the cost of any damage or excessive cleaning charges.

Dogs are not permitted upstairs at Hunter's Moon, in the downstairs bedroom or in any of the carpeted areas. We cannot allow dogs in the entertainment pod, to protect the expensive seat coverings, high-quality carpets and audio-visual equipment that are there for all our guests' enjoyment. There are many areas where dogs may stay comfortably, including the large hallway, kitchen and spacious dining area. Thank you for your understanding.

Please keep your dogs off the furniture and beds and clean up after them using the dog waste bins provided. Pets should not be left unattended in the house for any prolonged length of time.

14. Holiday extras and activities

We are delighted to help arrange and recommend activities and services to enhance your stay, and we only recommend trusted local service providers. Examples include an in-house private chef and dining, fine-dining deliveries, hampers and cocktail making.

You are welcome to arrange activities privately at the house (within reason); we simply ask that you inform us in advance of your stay what you plan to do and provide a copy of the service provider's public liability insurance and, where applicable, food hygiene certificate.

With some activities there is no guarantee of availability and our partner companies can be booked up months in advance. On request we will check the availability of the relevant provider for your dates, provisionally book for you, or pass on their details so you can liaise directly.

We accept no responsibility or liability for any accident or illness that may occur as a result of any holiday extra activity. Liability and insurance cover rest between you and the service provider.

15. Smoking

For the comfort of all Guests, smoking is not permitted anywhere inside Hunter's Moon. You are welcome to smoke outside within the grounds (please be respectful of the gardens and woodland) and we ask that you keep litter to a minimum so that our beautiful surroundings stay litter-free for everyone.

16. Website content and brochure differences, errors or omissions

Our website and any promotional literature are intended as a guide to the property and facilities only. We reserve the right to make changes to the facilities provided or to the property without prior notice. We regret we cannot accept liability for errors, mistakes or omissions arising from any differences between the property or facilities and our website or literature.

17. Terms of use of guest WiFi

Complimentary WiFi is provided for the use and enjoyment of our Guests. We are in a lovely remote area, so we cannot always guarantee a strong WiFi signal or connection. We reserve the right to suspend or cease the WiFi service for improper use or for any technical or commercial reason without explanation, liability or cost.

Use of the WiFi is entirely at the user's risk. You should ensure that any equipment used to connect to the internet is protected by suitable anti-virus and firewall software.
